Live music at your stand: what should it achieve?

GOOD CONVERSATIONS.READY TO CELEBRATE.

Looking for a band for your trade fair or stand party and organising live music for the first time? We help you turn your initial idea into a carefully planned performance. First, we establish whether your guests should be networking, enjoying light entertainment or dancing together after the exhibition closes.

In our experience, more than 80 per cent of our trade fair clients rarely book live music for their stand. We therefore consider music, guests, space, power, lighting and access together. Our personal concept and technical planning advice is free. We then quote for the musicians, equipment and additional services your event requires.

From a quiet duo to a live band for your stand party

YOUR EXHIBITION STAND.YOUR LIVE BAND.

A singer with a guitarist or an acoustic trio can accompany conversations and receptions. A loop duo builds musical layers live and can provide lively entertainment in a small space. Volume and programme follow your preferred atmosphere and the requirements on site.

For the party, you can book a live band with four to seven musicians. The four-piece line-up has a singer, guitar, drums and a keyboard player who also plays the bass live with his left hand. Depending on the line-up, a male singer, a second female singer or show saxophone can extend the performance.

Another option is DJ Plus: a DJ with a singer, or a DJ with a singer and saxophone. We compare the formats with you against your music goals, space, budget and schedule. A smaller format still needs appropriate technical planning.

Music and hosting for international guests

FAMILIAR CHORUSES.SHARED MOMENTS.

Who will be in front of the band that evening? International clients, business partners and your own team may have different musical tastes. We adapt the repertoire and hosting language accordingly. English is often the shared language for international guests, including when inviting them to sing and dance.

Our online music questionnaires after booking help establish favourite styles and songs to avoid. The band uses this information to prepare for your evening. For more extensive musical customisation, you can add the Chamäleon concept. Your stand party becomes your own live concert.

Plan power and performance space with your stand builder

EXHIBITION BY DAY.ROOM FOR MUSIC AT NIGHT.

Involve us during stand planning wherever possible. Together with you and your stand builder, we establish the actual power requirements, connections and their positions. For events planned far ahead, this can be useful months before the exhibition. A socket somewhere on the stand is not yet a coordinated supply for the band, PA and lighting.

The musicians may only need their space for one evening. Tables and chairs can occupy it during the day, but the performance area must be clear when we are due to arrive. Agree with your stand team who will move the furniture, when, and where it will be placed neatly.

Whether two tables and six chairs are moved elsewhere on the stand or put into storage, plan their destination in advance. If our cases will share the room, allow enough space for both. Keep access routes clear and include restoring the furniture for the next exhibition day in your schedule.

From bright product lighting to a welcoming party atmosphere

YOUR STAND IN THE LIGHT.YOUR EVENING ON STAGE.

An exhibition stand needs to display products clearly during the day. Bright presentation lighting serves that purpose, but often creates little atmosphere for dancing. Ask your stand builder early which lights can be switched or dimmed separately and whether a softer evening scene can be prepared.

If the only options are all on or all off, we can plan additional lighting where needed: ambient uplights for the stand, stage and party lighting, and warm-white functional lighting at the bar and catering area. Your guests can eat and find their way while the dance floor has its own atmosphere.

For quiet background music, static lighting or the existing lights may be sufficient. Ambient lighting and additional lighting services are agreed separately. Required safety lighting stays in use; control of the hall lighting is not automatically available to us.

Why stand floor area alone does not determine the PA

AN OPEN HALL.EQUIPMENT PLANNED TO FIT.

An open 60-square-metre exhibition stand behaves acoustically differently from an enclosed room of the same size. Hall height, open sides, reflections, neighbouring stands and the actual audience area all affect the PA design. We plan loudspeaker placement and bass reinforcement for your stand and the atmosphere you want.

For conversations, clarity at a restrained volume is the priority. For a party, many guests want a full live performance with bass they can feel. We assess suitable equipment alongside the permitted levels. This does not mean treating the entire hall as our audience area.

We accompany trade fair events with our own PA and lighting in most cases. Where suitable equipment is already available, we coordinate its use and any additions required. The setups below show possibilities; exhibition equipment is selected individually, not simply by floor area.

PA and lighting for your exhibition stand

COMPACT BY DESIGN.
QUICK TO SET UP.

For trade fair performances, we particularly recommend the compact setups of our equipment packages S and M. Package S is a space-saving option for smaller stands; package M offers an extended lighting design. The images illustrate the two options.

More lighting options.

The extended lighting option, with the same preparation for a quick setup. Here too, we tailor the PA to the stand and hall.

Optimised for short setup windows

We have specifically optimised these two concepts for exhibition stand performances with short setup windows. The lighting is prepared for quick deployment, allowing the on-site technical setup to focus on the PA. We always adapt the speakers and subwoofers to the actual requirements: the stand area, open hall, audience and intended atmosphere determine the specification.

Two crew members and clearly assigned tasks

A technical assistant and our audio engineer handle the setup together. The musicians also help with tasks assigned in advance, such as wheeling equipment to the exhibition stand. This coordinated division of work helps us make efficient use of the limited time for transport and setup.

The images illustrate possible setups. The number of speakers shown is not a fixed specification for your stand. Band line-up, additional ambient lighting, stage platforms and the exact scope of services are agreed separately.

Our tried-and-tested stand party schedule

ARRIVE AND UNWIND.THEN SING AND DANCE.

After a long exhibition day, many guests first want a cold drink, food and time to talk. We therefore recommend a relaxed opening. The following schedule has worked well at many of our trade fair events; we agree it against your exhibition’s approved times in advance.

6–7 pm: Arrive, eat and network. Quiet live music with singer and guitar, a suitable playlist or restrained DJ music leaves room for conversation. Live reception music is agreed separately if required.

7–10 pm: Three 45-minute live sets get the party moving. A coordinated playlist continues between sets. An additional DJ alongside the band is often unnecessary in this short window, although your preferred programme may make one useful. DJ Plus remains a separate option for the main entertainment.

10–11 pm: Prompt dismantling and hall clearance within the agreed window. Further loading outside the hall is planned only where loading areas, access and time limits allow it. Different exhibition hours will naturally change this example schedule.

Getting the band ready on time

A SHORT SETUP WINDOW.CAREFUL PREPARATION.

In our example, we allow three hours, from 3 to 6 pm, for site access, transport to the stand, setup and readiness. PA and lighting are prepared for the event, with lighting sequences configured beforehand. Our quick-setup systems still have to fit your stand and the time actually available.

A hall may look close on the site plan yet require a long detour. Closed gates or heated links between halls can block vehicle routes. We therefore clarify the permitted route, gate, loading point and transport paths with you and the relevant contacts beforehand.

Rolling equipment 200–300 metres or more takes time, especially over several trips. Our wheeled cases and transport aids help, while distances, bottlenecks and staffing still need to be considered. Collection after the performance is planned too.

If earlier access is needed, you apply to the organiser as the exhibitor. We provide the requirements and agreed timing. Audible checks take place only within the approved window. Closing times, volume limits and any exceptions are confirmed for the event; a check shortly before 6 pm is not automatically permitted.

A tidy performance area starts with equipment storage

INSTRUMENTS ON STAGE.CASES OUT OF SIGHT.

Reserve a suitable room from the start of setup for guitar, keyboard and drum cases, bags and packaging. A prepared meeting room or a sufficiently large storage area can work. Its immediate purpose is equipment storage, so empty cases do not sit among the instruments or around the stand.

If your stand has no suitable area, arrange additional storage with the exhibition organiser early. It needs to remain accessible until dismantling is complete. This avoids long trips back to the vehicle with empty cases and supports an orderly setup and breakdown.

Exhibition experience that informs your planning

HUNDREDS OF TRADE FAIR EVENTS.ONE CONTACT FOR YOU.

We have accompanied hundreds of trade fair events with duos, DJ Plus concepts and full live bands, almost always with our own PA and lighting. This practical experience informs our advice on relaxed receptions, evening lighting and short setup and clearance windows.

Two trained full-time office staff and experience from more than 2,000 event plans support the preparation. After booking, online questionnaires capture the music and event details. We make a final schedule check two days before the performance. Power, access and stand-building questions that need early decisions are addressed well before then.

Trade fair and stand party band – frequently asked questions

GOOD TO KNOW.
BEFORE YOU PLAN.

How early should I enquire about a band for my stand party?

Ideally during stand planning, so we can coordinate music, space, power and lighting with your stand builder. We also assess short-notice requests against availability, equipment, access and a realistic setup window.

How much space does the band need?

That depends on the line-up, instruments and equipment. Send us your stand plan and available performance area. We agree a suitable setup and establish which furniture needs moving and where it will go.

Do you bring PA and lighting?

Yes, we can plan and quote for suitable equipment of our own. We take suitable existing equipment into account. Ambient lighting, stage platforms and additional services are agreed separately as needed.

Can you carry out an audible check before the exhibition closes?

Only within the expressly permitted conditions. Requirements vary by exhibition and event. We clarify the allowed time window and levels beforehand; a particular time does not automatically grant permission.

Do we need a DJ as well as the live band?

For our example evening from 6 to 10 pm, an additional DJ is often unnecessary. A suitable playlist accompanies the reception and band breaks. We can include a DJ if requested or if your schedule calls for one.

What does live music for our exhibition cost?

The line-up, playing time, equipment, travel and logistical requirements determine the quote. Our personal planning advice is free. With your date, exhibition venue, stand plan and ideas, we can cost a specific concept.
